1. Information We Collect
We collect information necessary to provide and improve our Services. The types of information we collect include:
Account Information
When you register for an account, we collect your name, email address, company name, phone number, and business address. If you register end users (such as drivers or dispatchers), we collect their names and email addresses as provided by you.
Billing Information
Payment processing is handled by Authorize.Net. We do not store credit card numbers, CVVs, or full bank account numbers on our servers. Authorize.Net tokenizes your payment information, and we retain only a token reference and the last four digits of your payment method for display purposes.
Usage Data
We may collect information about how you interact with the Services, including pages visited, features used, session duration, and browser type. This data is used to improve the platform and diagnose technical issues.
Domain Configuration
If you configure a custom domain to access your TMS instance, we collect and store the domain name and associated DNS configuration details necessary to route traffic to your isolated deployment.
Mobile App Data
If your drivers use the Freight Wranglers mobile app, the app may collect GPS location data, device identifiers, and push notification tokens. Location data is collected only while the app is in use or when background tracking has been explicitly enabled by the driver, and is stored within your isolated database instance.
2. How We Use Your Information
We use the information we collect to:
- Provide and maintain the Services -- including provisioning your isolated instance, authenticating users, and enabling platform features.
- Process payments -- including subscription billing, one-time purchases, and invoice management through Authorize.Net.
- Send transactional communications -- including account confirmations, billing receipts, security alerts, and service notifications.
- Provide customer support -- including responding to your inquiries and troubleshooting technical issues.
- Improve the platform -- including analyzing usage patterns to identify opportunities for feature improvements, performance optimization, and bug fixes.
- Comply with legal obligations -- including responding to lawful requests from government authorities.
We do not use your business data (loads, invoices, driver records, etc.) for any purpose other than providing the Services to you.
3. Data Storage & Security
Isolated Architecture
Unlike many SaaS platforms that use a multi-tenant database architecture, Freight Wranglers provisions a dedicated, isolated database instance for each customer. Your data is never commingled with another customer's data. Each customer's application runs as a separate, containerized deployment.
Infrastructure
Our hosted Services run on Amazon Web Services (AWS) infrastructure. We leverage AWS security features including network isolation, access controls, and monitoring.
Encryption
- In Transit: All data transmitted between your browser or mobile app and our servers is encrypted using TLS 1.2 or higher.
- At Rest: All databases and backups are encrypted at rest using AES-256 encryption.
Access Controls
Access to customer infrastructure and data is strictly limited to authorized Freight Wranglers personnel who require access for support, maintenance, or security purposes. All administrative access is logged and audited.
4. Third-Party Services
We use a limited number of third-party services to operate the platform. Each third-party service is governed by its own privacy policy:
- Authorize.Net -- Payment processing. Authorize.Net receives your payment information directly and is PCI DSS compliant.
- Amazon Web Services (AWS) -- Cloud infrastructure hosting. AWS provides the compute, storage, and networking resources for your isolated instance.
- Customer-Enabled Integrations -- When you enable third-party integrations (such as ELD providers, fuel card companies, or load boards), data necessary for those integrations is transmitted to the respective third-party service. Each integration is opt-in, and you control which integrations are active. Each third-party provider has its own privacy policy governing the data they receive.
5. Data Sharing
We do not sell your data. Period.
We share information only in the following limited circumstances:
- Payment Processor: Billing information is shared with Authorize.Net solely for the purpose of processing your payments.
- Hosting Provider: Your data is stored on AWS infrastructure as part of providing the Services. AWS acts as a data processor on our behalf.
- Customer-Enabled Integrations: Data is shared with third-party services that you explicitly enable and configure.
- Legal Requirements: We may disclose information if required to do so by law, court order, or governmental regulation, or if we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.
- Business Transfer: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change in ownership or control of your personal information.
6. Customer Data Ownership
You own your data. All business data you enter into the Services -- including loads, invoices, driver records, customer records, documents, and any other operational data -- belongs to you.
Freight Wranglers acts as a data processor, not a data owner. We process your data solely to provide the Services. We do not mine, analyze, aggregate, or monetize your business data for any purpose beyond delivering the Services to you.
You may request a full export of your data at any time by contacting support@freightwranglers.com. Data exports are provided in standard, portable formats (CSV, JSON, or SQL backup).
7. Data Retention
- Active Accounts: Your data is retained for as long as your account remains active and in good standing.
- Cancelled Accounts: Following account cancellation, your data is retained for thirty (30) days to allow for data export or account reactivation. After the 30-day period, your data is permanently deleted from our production systems.
- Backups: Backup copies containing your data are purged within ninety (90) days of account cancellation.
- Legal Obligations: We may retain certain information for longer periods if required by applicable law or regulation.
9. Children's Privacy
The Services are designed for use by businesses and are not directed at individuals under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have inadvertently collected personal information from a child under 13, we will take steps to delete that information promptly.

10. Your Rights
You have the following rights regarding your personal information:
- Access: You may request a copy of the personal information we hold about you.
- Correction: You may request that we correct any inaccurate or incomplete personal information.
- Deletion: You may request that we delete your personal information, subject to our data retention obligations.
- Data Portability: You may request a copy of your data in a structured, commonly used, machine-readable format.
- Objection: You may object to the processing of your personal information in certain circumstances.

11. Data Breach Notification
In the event of a data breach that affects your personal information or business data, we will:
- Notify affected customers within 72 hours of discovering the breach.
- Provide details about the nature of the breach, the data affected, and the steps we are taking to remediate it.
- Cooperate with applicable regulatory authorities as required by law.
- Provide guidance on steps you can take to protect your account and data.
12. Changes to This Policy
We may update this Privacy Policy from time to time. For material changes, we will provide at least thirty (30) days' prior notice via email to the address associated with your account or through a prominent notice within the Services.
We encourage you to review this Privacy Policy periodically. Your continued use of the Services after any changes become effective constitutes your acceptance of the revised policy.
